One of the most common complaints people have about customer service and technical support is that they want the support person to be a better listener. How to Be a Better Listener
Here are five ways you can be a better listener starting right now.
Pay Attention
First, pay attention to the person speaking. Lose distractions such as your phone or laptop. Focus on understanding and remembering what the other person says.
Withhold Judgment
Next, withhold judgment. That can come later, after you fully understand what the speaker was saying and the meaning of their words. You don’t have to agree with them to understand them.
Ask Questions
Next, ask open-ended questions to gain a deeper understanding. A great example of such a question is “Can you tell me more?”
Summarize Your Understanding
Next, summarize your understanding of what the other person said. For example, you might say, “Let me summarize what you just said to make sure I understand you correctly.
Stop Talking
And finally, the best way to be a better listener is to stop talking. Remember, the wisdom of the Dalai Lama: “When you talk you’re only repeating what you already know. But, if you listen, you may learn something new.”
